· Share information with your referring GP or healthcare team (with your consent)

We will never sell, rent, or trade your personal information.
5. Secure Storage of Information
All records are stored securely using Heidi Health, an Australian-based, encrypted clinical software platform compliant with Australian Privacy Principles.
· Data is encrypted during transmission and storage.
· Only authorised personnel have access to your records.
· Paper-based notes (if any) are stored in locked facilities and destroyed securely when digitised.
· Records are retained for seven (7) years from your last consultation, or until age 25 for minors, in line with professional and legal requirements.
6. Use of Heidi Health and Transcription Services
Diverse Dietetics uses Heidi Health to manage appointments, telehealth consultations, reminders, and payments.
We also use Heidi Health’s Transcribe & Dictate feature to assist with accurate note-taking during or after consultations.
· Transcription occurs within Heidi Health’s secure environment and complies with Australian privacy standards.
· No identifiable audio or transcripts are stored outside the platform.
· Transcribed notes are reviewed and verified by your dietitian before being added to your record.
· Heidi Health does not access or use your data for marketing or analytics.
By engaging our services, you consent to the use of Heidi Health for these purposes.
7. Telehealth Appointments
Telehealth consultations are conducted via Heidi Health’s secure video system.
Sessions are not recorded without your explicit consent.
You are responsible for ensuring a private and safe environment for your telehealth appointments.
8. Sharing of Information
Your information may be shared only when necessary and with your consent, for example:
· With your GP, specialist, or other health providers directly involved in your care
· With your consented next of kin or carer (if relevant)
· When required by law (e.g. court order, public health obligation, or imminent risk of harm)
De-identified data (with no personal identifiers) may be used for quality improvement, professional supervision, or reporting purposes.
9. Accessing and Correcting Your Information
You have the right to:
· Access your personal and health records
· Request correction of inaccurate or outdated information
